Administrative Assistant

The Administrative Assistant will be an assistant to the ministry staff and ministry teams to achieve the goals of FBCSD. Essential duties and responsibilities include the following. Other duties may be assigned.

Reception Responsibilities
1. Greet visitors to the church office, providing assistance whenever possible
2. Answer the telephone cordially, providing assistance whenever possible
3. Handle miscellaneous details (unscheduled, unspecified, unexpected as assigned by the Pastor(s))

Secretarial Responsibilities
1. Handle all church mail, including pick-up, drop-off, opening, distribution, and responding as appropriate
2. Maintain church membership records, including posting weekly attendance
3. Prepare and mail bulletins, and newsletters
4. Arrange and organize material for Sunday and Wednesday distribution
5. Keep church calendar up to date
6. Prepare business meeting agenda items and file meeting minutes
7. File bulletins and other church related documents
8. Keep office organized/neat

Financial Responsibilities
1. Enter and post contributions in ACS
2. Enter and post all accounts payables into ACS and print checks
3. Post timesheet and leave request information for payroll; print payroll checks
4. Make sure checks are signed by appropriate personnel; mail checks and file check records
5. Enter and post journal entries as needed
6. Perform teller duties as needed, make bank deposits; post all deposit information to ACS
7. Balance checking account in ACS
8. Provide financial reports as needed
9. Work with Treasurer to update budget
10. Work with Treasurer to close out financial year in ACS

Managerial Responsibilities
1. Keep an inventory of and order supplies for office and staff
2. Supervise the maintenance of church office equipment in consultation with the building managers
3. Recruit and supervise volunteer help for routine tasks as needed
4. Take initiative in problem solving

Media Responsibilities
1. Design and prepare the weekly bulletin
2. Design and prepare public relations pieces (mailers and fliers)
3. Design and prepare Church Directory
4. Update and prepare Deacon Manuals

Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential function of this job. While performing the duties of this job, the employee may need to lift boxes of paper around 40 pounds. Position Supervision:
The Administrative Assistant will be under the direct supervision of the pastoral staff. The desire is that a good, team oriented working arrangement will be expressed between the pastoral staff and administrative assistant.

Hours: 32 hours a week over four days, Monday - Thursday.
